Privacy Policy — Nexera AI

Effective date: June 28, 2026 Applies to: the Nexera AI mobile application ("the App"), an AI assistant that helps Microsoft Excel and Office users get accurate, context-aware answers and guidance.

This is the privacy policy for the Nexera AI internal beta. We keep it short and plain. If anything changes materially, we will update this page and the effective date above.

1. Who we are

Nexera AI is operated by the 5M-Pro team. For any privacy question or request, contact us at support@5m-pro.com.

2. What we collect

Account information (when you register or sign in with email or Google):

  • Email address
  • Display name (if provided by you or your Google account)
  • A unique account identifier and sign-in timestamps (account created / last login)

We do not store your password. Authentication is handled by Google Firebase Authentication.

Usage information (when you use the App):

  • The Excel questions you ask
  • The answers returned to you, including confidence level and the Microsoft Support source links cited
  • Optional feedback you submit (a "helpful / not helpful" rating and any comment)
  • Basic status of each request (e.g. completed or error)

We do not collect Excel files, screenshots, payment information, or contacts.

3. How we use your information

  • To authenticate you and keep you signed in
  • To generate and display answers to your Excel questions
  • To show your question history
  • To improve answer quality and fix problems, using feedback and error information

4. How your question is processed

When you ask a question, the question text is sent to our backend and to Google's Gemini API, which generates the answer. Our backend retrieves supporting content from Microsoft's public support website (support.microsoft.com); no personal data is sent to Microsoft in this step.

5. Service providers (sub-processors)

We rely on these providers to operate the App:

  • Google Firebase — authentication, database (Cloud Firestore), and app integrity (App Check)
  • Google Sign-In — optional sign-in method
  • Google Gemini API — generates answers from your question text
  • Microsoft Azure — hosts our backend service

Each provider processes data under its own privacy and security terms.

6. Data retention

  • Account and question history are retained while your account is active.
  • Questions you mark as temporary ("ghost mode") are automatically deleted about 24 hours after they are created.
  • You can request deletion of your account and associated data at any time (see Section 8).

7. How we protect your data

  • Data in Firestore is access-controlled so that you can only read and write your own account and questions.
  • Traffic to our services is encrypted in transit (HTTPS).
  • App Check is used to help ensure requests come from the genuine App.

8. Your choices and rights

  • Access / correction: you can view and edit your display name in the App.
  • Deletion: to delete your account and associated data, see how to delete your account.
  • Sign-out: you can sign out at any time from within the App.

9. Children

The App is not directed to children under 13, and we do not knowingly collect their data.

10. Changes to this policy

We may update this policy. Material changes will be reflected here with a new effective date.
